PRACTICAL INFORMATION ON EXAM REGISTRATION AND PARTICIPATION IN EXAMS

Dear Student,

The exam registration period starts on 7th May 2025 (Wednesday) at 19:00, and the exam period will run from 19th May 2025 (Monday) to 5th July 2025 (Saturday).

To ensure smooth exam registration, please read the following useful information:

You have to register for an exam in every lecture-type subject (even if it was held as a seminar). In seminar-type subjects, you do not need to register for exams; your performance will be evaluated by the instructor based on your semester-long work and/or in-class test(s)/assignments/presentations…etc. (You can check the course type under Subjects/taken courses in Neptun: Előadás=Lecture, Gyakorlat=seminar)

Practical information regarding exam registration and participation in exams

Registration, deregistration, rescheduling exams

According to Section 71 (5) of ELTE SZMSZ VOL 2 Academic Regulations For Students (hereinafter: HKR), students ‘can register for an exam at the latest, 24 hours before the exam starts, which applies to exam cancellations and signing up for another date (postponing exams) that has the capacity, as well.’

Absence from exams

Postponed examination (Section 4 (116) of HKR): if the Student cancels his/her exam registration before the deadline (24 hours prior to the exam), or he/she stays away from the exam for a justifiable reason

Exam without a result/No show (Section 4 (16) of HKR): if the Student fails to appear at the exam without a justifiable excuse and he/she fails to postpone the exam before the deadline (24 hours prior to the exam). These exams are not graded; no result is registered in Neptun.

In the case of an unjustified absence from an exam date, the Office of Educational Affairs issues a fee of 4000 HUF. According to Section 133 (2) of HKR;  ‘[p]ursuant to the provisions of Article 56 (2) of Vhr2., if the Student fails to appear at an exam without a justifiable excuse specified in Section 71 (7) of the Regulations [HKR], the Student is obliged to pay a [fee] specified in paragraph (1).

HKR Section 71 (7): ‘If the student is absent from an exam without a justifiable excuse and has not postponed, the exam is regarded unsuccessful and is included in the number of exam registrations for the semester, but is not included in the number of possible attempts to achieve a grade. An absence is only justifiable if it occurs due to reasons beyond the student’s control or attributed to external circumstances. A justified absence is seen as postponing the exam.’

Course abandonment (Section 4 (50) of HKR): if the student has not attempted to complete a course despite having registered for it.

  1. in the case of a seminar or internship, the student did not participate in the classes or their performance could not be evaluated for other reasons,
  2. in the case of an examination, the student did not attempt to pass the examination, excluding the case when the student did not attempt to pass because they did not complete the course’s prerequisite(s)

Failed exams, retake examinations, invalid exams, and improving exam grades

Failed exam: (Section 4 (74) of HKR): if the Student tries to pass the exam but cannot meet the requirements, the exam is considered a fail. All failed exams count in the overall number of exam attempts allowed for the course (allowed number of attempts: 6; in the case of Proficiency Examinations: 4)

Retaking an unsuccessful Language Proficiency Exam or language comprehensive exam may be banned by the training programme. (Section 73 (7) of HKR)

Students may register for no more than two exams for a given course [within the same exam period], except in the case of postponing an exam. (Section 334 of HKR)

Retake examination: a type of remedial exam defined by law allowing the Student a second attempt at an exam they have failed to pass within the same exam period (Section 4 (112) of HKR)

Invalid exam (Section 4 (18) of HKR): if the Student fails to pass the exam that was the weak prerequisite of the given course, the exam results of the given course are invalid. (The Office of Educational Affairs deletes the grade and exam registration from the academic system at the end of the semester.)

Offered grade (Section 4 (52/C) of HKR): the lecturer may offer the student a grade (offered grade) based on their performance over the course of the semester. Should the Student reject that grade, they shall be required to sit for a written or oral exam during the exam period. The Student can accept or reject the offered grade in Neptun until the end of the second week of the exam period. The Student can only accept an offered grade if they have not registered for an exam in the given subject. (Section 68/B (2) of HKR

The offered grade can be managed under Subjects / Offered grades.

  • Students can accept the offered grade, in which case, the accepted grade becomes their final grade.
  • Students have the opportunity to reject the offered grade. In this case, they have to take an exam, and the final grade will be given based on the exam results.
  • If students ignore the offered grade (do not respond in Neptun), the entry is not finalized. In this case, their semester performance is lost as they do not have a final grade.

Improving exam grades/Remedial Exam (Section 73 (8) of HKR): in the case of improving a valid exam grade (pass or higher), the second result always becomes final, even if it is worse than the first result or the student did not attend the exam. If a student fails or does not attend the remedial exam, their previous performance is lost! Students can use this improvement option twice per semester, per program, within the same exam period.

Expired financial obligations

Expired fee obligation: students with an active fee obligation past the payment deadline are not allowed to register for exams. Therefore, please check now if you have any unsettled payments in Neptun, under Finances / Payments: select “All terms” and the “Active” status to check whether you have any active (unsettled) payment obligations.

If a student attempts to take an exam for the first time in the last week of the exam period and fails, the responsible institute/department is not obligated to offer another exam date.

Prerequisites

Weak prerequisite: a prerequisite which can be completed in the same semester with the given study unit; (Section 4 (27) of HKR) A study unit that is a weak prerequisite must be completed in the same semester as the study unit of which it is a prerequisite. In the case of the study unit that is a prerequisite, the preliminary completion of the prerequisite may be mandated in the curriculum or when the course is announced. (Section 23 (3) of HKR)

Strong prerequisite: a prerequisite whose prior fulfilment is a condition for registration for the curriculum study unit in question. (Section 4 (17) of HKR)

Consequences of fulfilling requirements without prerequisites: The results of a study unit are considered invalid if the prerequisite was not completed. In such cases, the grades will be deleted in the electronic system by the Office of Educational Affairs. (Section 19 (4) of HKR)

Student responsibilities during and at the end of the exam period

Verification of personal identity is essential during oral exams. Identity verification during exams will be done with a photo ID. Without it, students cannot participate in the exam. For online oral exams, students must present a photo ID (student ID card, ID card, driver's license, passport) through the camera. (Section 72 of HKR)

Previously, students had to bring their hardcover paper-based index to the exam, where the instructor recorded the obtained grade after the exam. Since this is no longer required, we strongly recommend that students bring the “Sheet for Validating Oral Exams”/ “Exam voucher” to every oral exam. After registering for an exam, students can print this form from their Neptun interface under Exams/Taken exams by selecting the current semester, clicking on the “+” sign next to the relevant exam, click on “Exam details”, and in the pop-up window, click on “Print exam voucher”. The instructor can use this to record the obtained grade for the student. This is the student's copy, they can take it home and keep it. This will serve as proof of the grade obtained in the exam or, if the grade recording is missed, proof of exam completion. If a student decides not to bring the course registration sheet to the exam, they will not be able to claim the grade later in case of any problems.

At the end of the exam period: students must check whether all their grades are (correctly) recorded in Neptun.

According to Section 65 (6) of the HKR: "In the case of the grade recorded on Neptun and the grade awarded by the lecturer do not match, and despite the student having sat for an exam or completed the required assignment, a grade does not appear in Neptun or an unexcused absence is entered into the system, the student and/or the lecturer can lodge a complaint within 7 days following the examination period. In the case of missing this deadline, a complaint can only be lodged if for at least half the 7-day period available to lodge the complaint, the student was not able to act due to health problems that he/she can prove with a doctor’s note.”

If the deadline for filing a complaint is missed, the grade will not be recorded later, even if the instructor gives a grade for the oral or written performance.

Deadline for submitting complaints in the Neptun system: 12th July 2025, 17:00

You can lodge a complaint only by submitting a Neptun request the following way:

  • In the case of lectures: Click on the + sign next to the relevant exam date under Exams/Taken exams. Select “Submit request”.
  • In the case of seminars: Fill in the request “Form of Complaint Concerning Grades” under Administration/Requests.

The request forms are available between 5th July 2025, 16:00 – 12th July 2025, 17:00

Termination of student status due to unfulfilled academic obligations

Consequences of not fulfilling academic obligations:

According to Section 52 (1) of HKR, students must be dismissed from the program if:

  1. the student has not completed a study unit, which forms part of a programme’s curriculum, after three course registrations, or in the case of Language Proficiency Exams, after four [course registrations];
  2. a study unit, which forms part of a programme’s curriculum, has not been completed after six [exam] attempts, excluding invalid attempts due to uncompleted weak prerequisites;

Section 52 (3) of HKR: The Special Provisions pertaining to the faculty regulate

  1. the student’s responsibilities regarding the advancement of his/her studies

According to Section 327 (ad Section 52 (3) a)) of HKR, the student shall be expelled from the programme if he/she fails to obtain 36 credits over the course of his/her first three active semesters.

According to Section 59 (4) of Nftv., The higher education institution shall terminate the student’s legal status as a student if the total number of their failed remedial and repeated remedial exams in the same study unit reaches five.
