Before the mobility tasks

FOR ERASMUS+ SCHOLARSHIP WINNERS

It is recommended to start the administration 6-8 weeks before the start of the mobility so the scholarship arrives by the start date of the mobility. In case of later administration the scholarship will also be paid later.
We recommend that you open a euro-based account for your Erasmus + scholarship. (Revolut is acceptable).
All obligations related to travelling and staying abroad (travel, accommodation, visa, residence permit, etc.) should be managed and paid by the scholarship holder. You acknowledge the fact that amount of the Erasmus+ grant may be not enough to cover all incurred costs. The calls for additional financial suppports are available here.

The Learning Agreement must always be signed by the institute/departmental academic coordinator as the "Responsible Person at the home institution" on the BTK side.

For students preparing for study mobility:
NOMINATION: The students who have won Erasmus+ scholarship for study purpose are nominated to their host institution by their faculty/institute coordinators. Please note that the nomination process and deadline is different in each host institution, thus we advise you to consult the nomination deadline in your host institution and ascertain that you are nominated by the deadline. The host institution always confirm whether they can receive the nominated student for the semester and field of studies given. 

Long-term study mobility or traineeship

Students who have been awarded a long-term study mobility or traineeship must complete the pre-departure procedures in Mobility-Online. The required documents are listed below.

Deadline for submitting documents:

  • For students going abroad for study mobility in the autumn semester, the deadline is July 15*
  • For students going abroad for study mobility in the spring semester, the deadline is November 25*

*The deadlines below are not strict deadlines; however, we can only guarantee that the scholarship will be received by September 1 or February 1 for those students who submit all pre-mobility documents by the deadline.

OLS assessment

You can access the language test by connecting to the new interface of OLS on the following page. The following guidance document is available for registration, access to the test and language courses.

You must complete the OLS test before every mobility, which is at least 14 days long, even if you have already completed one before for a previous mobility. Filling out the OLS assessment is not obligatory for physical mobilities shorter than 14 days.

It is IMPORTANT to take a screenshot of the result when completing the test. The image must include your name in the upper right corner and the result of the test. You will need to send this screenshot to your faculty coordinator along with the other before mobility documents. If you happen to have closed the page and want to view your result again to complete the screenshot, follow the steps in this document.

Learning Agreement

On the BTK side, the Learning Agreement must always be signed by the institute/department academic coordinator.

For study mobility, the Learning Agreement must be created within the Mobility-Online system!

  • Important: Due to an IT transition, some host universities are currently unable to accept the Digital Learning Agreement. This means that the partner university does not have an online system connected to the EWP (Erasmus Without Papers) network capable of receiving DLAs created and submitted in Mobility-Online. If the student is traveling to a partner university affected by this issue, please fill out the document below instead of the version created within the system, sign it, then have it signed by the ELTE academic coordinator and subsequently by the partner university’s coordinator, and then upload the document signed by all parties as a PDF to the Mobility Online platform: Learning Agreement for Study Mobility.

Insurance

Students applying for Erasmus+ mobility in Mobility-Online must provide proof of insurance (photo or scanned document) in Mobility-Online.

Health insurance can be certified by having an EU health insurance card valid for the whole mobility period or any other health insurance that is valid in the host country during the whole mobility period.

As you must have a valid insurance for the entire duration of your mobility, if your EU health insurance card is due to expire during your mobility, you must renew it in time.

*Attention! Students awarded with the additional support for green travel are obliged to keep the travel documents and provide proof of the realised green travel at the end of their mobility.

Short-term doctoral mobility

For students who have been awarded short-term doctoral mobility, the documents to be submitted prior to the mobility are listed below.

The first three documents (the Learning Agreement signed by all parties, health insurance (EU card), and the OLS test (the latter only for mobility periods of 14 days or longer)) must be sent together in a single email to the faculty coordinator at outgoing@btk.elte.hu.

Learning Agreement

Please complete the Learning Agreement form with the help of the ELTE academic coordinator. In the case of short-term doctoral mobility, your supervisors can also assist you with academic and content-related questions.

If there is a change during the mobility compared to what is stated in the Learning Agreement, it is necessary to fill out the Learning Agreement During the Mobility document and send the signed version to the faculty coordinator.

*If you apply for additional travel days, please make sure to indicate this on the form even in the case of green travel. (Note that the physical length of the mobility, including travel days, can be a maximum of 30 days, therefore, in the case of 30-day mobility, we cannot take into account possible travel days even in the case of green travel.)

Grant Agreement

The pdf version of the Grant Agreement will be sent to all students by email, tailored to the information submitted on the form. Please read the Grant Agreement carefully and check the information in it! If you find everything is fine, sign the document electronically and send back via e-mail. In case if you can not sign the document using certified e-signatures, please print it out in 3 copies, sign each one with a blue pen and send them to the Department of Erasmus+ and International Programmes of the Eötvös Loránd University Education Directorate (1056 Budapest, Szerb u. 21–23).

Authenticate the Grant Agreement received by e-mail using the Hungarian DÁP e-signatures (or any other qualified electronic signature service provider that complies with the relevant European Union legislation), then send it back to erasmus.short@dep.elte.hu OR Send 3 signed, original copies of the Grant Agreement to the Department of Erasmus+ and International Programmes of the Eötvös Loránd University Education Directorate (1056 Budapest, Szerb u. 21–23).
